The power behind the everyday work

Build the foundation.
Put it to work, charter after charter.

Keep common standards across the company, make room for each yacht’s differences, and tailor the final plan to the people coming aboard.

  1. 01

    Company baseline

Set operational timing, seasons, meal-plan names, expense categories, and company lists.

  2. 02

    Vessel setup

Choose boat-specific overrides, branding, templates, rate cards, task rules, and maintenance schedules.

  3. 03

    Charter details

Generate a starting plan, review guest preferences, and adjust the itinerary, menu, and messages for this trip.

Operational defaults use the vessel override first, then the company baseline. Templates and schedules are maintained in their own settings; changes do not automatically replace a charter’s saved plan.

One practical example

Your next BVI itinerary
starts with your experience.

You already know the routes that work. Save that knowledge as a vessel template, then spend preparation time on what makes the next charter different.

Illustrative charter example
  1. Configure the starting point

Prepare a 7-day itinerary for this vessel, cruising area, and Tortola pickup, with your preferred stops and activities.

  2. Use it on the booked charter

Choose Generate to fill the matching day-by-day starting plan. Destination lists help the crew edit the details.

  3. Make it personal

Adjust the pace, swim stops, and a birthday dinner for these guests. The saved charter itinerary remains this trip’s plan.

Configurable

Company Defaults & Vessel Overrides

Set your operating baseline, then give each yacht the details that make it different.

What you can configure

  • Default cruising area, pickup, and drop-off locations
  • Preference-sheet and pre-charter call due dates
  • Hold expiry, vessel guest capacity, and operator settings
  • Company season windows for reporting and organization

On the charter

Start new charters with useful defaults. Leave a vessel override blank to use the company baseline; adjust individual charter details when needed.

Configurable

Itinerary Templates & Destination Lists

Turn your local knowledge into a reusable starting point for the next trip.

What you can configure

  • Day-by-day templates for 6-, 7-, and 8-day charters
  • Separate plans by vessel, cruising area, and pickup location
  • Default templates when a more specific plan is unavailable
  • Destination, activity, lunch, and dinner suggestions

On the charter

Generate the starting itinerary for a booked charter, then tailor its stops and activities to the guests. Share the finished plan as a PDF.

Configurable

Menu Templates & Guest Sign-Off

Keep the chef’s best starting menus ready, with room for every guest’s preferences.

What you can configure

  • Day-by-day menus for 6-, 7-, and 8-day charters
  • Reusable menu suggestions organized by meal type
  • Clone a longer menu into a shorter trip template
  • Optional guest menu review and sign-off per vessel

On the charter

Generate a charter menu from the vessel’s setup, then review dietary needs and personalize the meals. Enable guest sign-off when it fits your preparation process.

Configurable

Email Templates & Branded Drafts

Prepare the messages you send repeatedly without making every charter sound the same.

What you can configure

  • Separate guest and broker email copy for each vessel
  • Vessel branding, colors, signature, and Reply-To
  • Charter details carried into prepared messages
  • Optional morning crew snapshot and draft alerts

On the charter

Crew with email access can review and send drafts from the charter. Managers maintain the templates, so routine correspondence starts with the right wording.

Configurable

Custom Itinerary Task Rules

Turn your local knowledge into timely action.

What you can configure

  • Match pickup and drop-off locations
  • Match itinerary destinations, lunch stops, or dinner stops
  • Define a task title and instructions
  • Set due dates relative to booking or charter start
  • Choose whether a rule’s task should be added to the calendar

On the charter

Create custom rules for pickup locations, drop-off points, destinations, and dining stops. When a booked charter matches a rule, Charter CRM automatically adds the corresponding task to its workflow—with the instructions and due date you define.

For example

Your pickup marina requires an advance berth reservation. Set up a rule that creates a “Reserve pickup berth” task when a charter using that marina becomes Booked. Make it due immediately after booking or a chosen number of days before departure.

The next charter’s preparation stays visible, even while your crew is focused on the guests currently aboard.

Configurable

Vessel Rate Cards

Give the team one reference for the rates and conditions offered by each yacht.

What you can configure

  • Rates organized by trip length and guest count
  • Guest-count columns follow the vessel’s capacity
  • Editable holiday rates, notes, and cruising-area conditions
  • Sleep Aboard, Half-Board, and pro-rating wording

On the charter

Managers maintain each vessel’s published card; crew can refer to it when discussing a charter. Updating the card leaves historical charter fees intact.

Configurable

Contracts, Waivers & Readiness

Bring your operating details into the documents and checks that prepare a booking.

What you can configure

  • Company legal identity and vessel owner details
  • Per-vessel e-sign requester and configurable waiver text
  • Meal-plan and Sleep Aboard language in special conditions
  • Agreement generation, signature requests, and guest waiver links

On the charter

Check the charter’s readiness, generate its agreement, and track the preparation work together. Review charter-specific terms before sending.

Configurable

Expense Categories & Receipt Review

Organize spending the way your business needs to see it.

What you can configure

  • Company-defined categories for manual entries and receipts
  • Separate charter, general, and crew-personal expense groups
  • Paid-by, reconciliation, and crew-cash reimbursement tracking
  • Mobile receipt capture with a review queue before posting

On the charter

Crew capture costs while the trip is fresh. Review receipts, assign the right category and group, and see the ledger by vessel and season.

Configurable

Maintenance Systems & Schedules

Build a maintenance plan around the equipment actually aboard your yacht.

What you can configure

  • Custom vessel systems and maintenance items
  • Schedules driven by dates or operating hours
  • Named engine meters for each boat
  • Pending work and a record of completed maintenance

On the charter

Update hours, see what is due, and record completed work with notes. Each boat keeps its own equipment catalog and schedule.

Configurable

Crew Access & Vessel Assignments

Give each person access that matches the work they do.

What you can configure

  • Company-manager and crew roles
  • Assign people to the vessels they work aboard
  • Capabilities for galley, expenses, maintenance, preferences, and email
  • Separate access to vessel configuration

On the charter

The chef can work on meals and preferences while other crew focus on their responsibilities. Managers control assignments and access as the team changes.

Configurable

A Brand for Each Vessel

Carry the yacht’s identity into the guest experience.

What you can configure

  • Vessel wordmark for the crew workspace
  • Vessel mark on guest preference, menu, and waiver pages
  • Shared branding for email layouts
  • Separate artwork for each yacht in the company

  • Food, beverage, travel, health, occasion, and activity details

Use the submitted details to plan meals, provisioning, and activities. Unlock a submitted sheet when guests need to make changes.

Connected workspace

Keep opportunities and booked work connected to the right yacht.

What you can do

  • Vessel-specific inquiries, holds, and booked charter records
  • Broker contacts, agency details, and running notes
  • Guest counts, dates, meal plans, fees, and locations
  • Preparation progress and hold-expiry visibility

On the charter

Move a booking forward from one charter record, with the contact details and next steps close at hand.

Connected workspace

Dashboard, Documents & Calendar

See the work ahead and reach the information behind it.

What you can do

  • Vessel- and season-specific charter views
  • Due and overdue preparation items on the dashboard
  • Charter documents organized through connected Google Drive
  • Charter events sent to a configured Google Calendar per vessel

On the charter

Open the charter that needs attention, use its documents, and keep the calendar aligned with the CRM. Google Calendar synchronization runs from CRM to Google.
